General Booking Terms & Conditions

  1. Unity is an international camp organised and delivered by Girlguiding Staffordshire.

  2. Unity will be run under the rules laid out in the policies of Girlguiding UK, The Guiding Manual and specific Unity Policies. All Participants, Leaders and volunteers must comply with these Policies, Rules and Instructions.

  3. Actions of any Participant, Leader or member of Staff which breaches the The Guiding Manual, or any behaviour which is likely to cause offence, nuisance, damage or criminal damage, injury or bring Girlguiding or Unity into disrepute will be addressed by the Camp Leader who will decide an appropriate course of action. Among other sanctions, this may include a request to leave the event, in which case, costs incurred following a request to leave the camp shall be the responsibility of the individual or camping unit.

  4. The Organisers of Unity retain the right to amend, alter or vary the advertised/promised programme without being obliged to give a refund of all or any part of the fee.

  5. The Leaders and Staff who are Girlguiding Members 18 or over must be able to provide their DBS valid until the last day of the camp. Staff who are non Girlguiding Members 18 or over must complete an Enhanced DBS Check. International Leaders and Staff must comply with equivalent Child Protection / Safeguarding requirements of their home country and when requested, present evidence to the Unity Organisers. If Adults fail to fulfil these requirements they will not be allowed on site and will not be eligible for a refund.

  6. The Participants, Leaders and Volunteers must comply with all relevant statutes, safety announcements and venue regulations whilst attending the event. Breach of any of these conditions or unacceptable behaviours likely to cause damage, nuisance, injury, or criminal action, will be addressed by the relevant Unity Camp Leaders, who will decide an appropriate outcome (after taking appropriate advice) up to, and including, a request to leave the event. This also applies to actions likely to bring Girlguiding, or Unity into disrepute. Any request to leave will be the decision of the relevant Unity Camp Leaders and will be at the cost of the person or unit being asked to leave.

  7. Leaders are responsible for ensuring Leader to Participant ratios are satisfied.

  8. We have published our prices, outlined facilities offered, advertised activities and promoted experiences on our website, in brochures, and across social media platforms and taken reasonable care to ensure that all information is correct at the time of being published or broadcast. However, things may change after the brochure or broadcast has been published and you agree that we have the right to amend your contract to provide a suitable alternative where changes are necessary

  9. Sometimes facilities or services described on the website or booked by you may be withdrawn or not fully available for reasons over which we have no control. You agree and accept that some facilities may only be open during peak demand, which is generally at the start and close of a day.

  10. In the unlikely event that Unity is cancelled due to circumstances beyond the control of the Organisers or Girlguiding Staffordshire, money will be refunded to the extent that money has not already been expended or committed to be spent. This may mean that no fees can be refunded, as such groups and individuals are therefore to be encouraged to take out appropriate adequate insurance for this eventuality.

  11. Participants, leaders and staff attending Unity shall not undertake trade or commercial activities on site without prior written permission of the Camp Leader

  12. Camp Fees excludes all food, travel to and from the event, the provision of personal or unit equipment – including camping equipment, or insurance of personal or unit equipment.

  13. Unity are not liable for any independent transport operator delays or cancellation. It is you and or your Unit’s responsibility to ensure you have a schedule for arrival on the start day of the event and departure on the closing day of the event. It is your responsibility to plan your journey and we will not offer a refund for reduced attendance if insufficient time has been allowed for travelling.

  14. Excepting Staff and by prior agreement, there can be no arrival by Units before the first day of the jamboree and stay beyond the last day of the jamboree.

  15. Unity 2026 accepts no responsibility for personal or group property owned by participants, Leaders or Staff. The individuals responsible should make sure suitable insurance is in place. We also recommend that International Groups take out medical and travel Insurance.

  16. Each unit will pay a non-refundable deposit at the time of registration to secure their places. Payment must be in the form of cleared funds; BACS transfer, cheque, credit card payment; registration will not be accepted until payment is completed. The Unit agrees to pay and bear any sales, value-added, withholding or other similar taxes imposed by applicable law that the Unit must pay based on the services Unit ordered.

  17. Deposits are non-refundable and cannot be transferred to other groups. However, places within a unit can be reassigned up to the 1st April 2026. Reassigning of places cannot be considered after 1st April 2026.

  18. Fees paid at any time to the camp during the booking process are non-refundable – except in accordance with the Cancellation Policy (see below).

  19. Failure to meet payment deadlines below may result in your booking being cancelled with no refunds issued:

Cancellation Policy

  1. In the case of cancellation by Participants, Leaders or Volunteers, no refunds of fees paid at the time of cancellation will be given. The organisers retain the right to refund in exceptional or compassionate circumstances where they see fit.

  2. Whilst being mindful of individual circumstances, the policy of Unity 2026 is that all Deposits and Payments are Non-Refundable. The camp will however entertain replacement participants in the event of extremely exceptional circumstances that a particular person is unable to attend. These alterations will be dealt with on an individual basis and it should not be assumed that all requests for alterations of personnel will be sanctioned. In particular last minute replacements will not be allowed.

  3. In the unlikely event that Unity is cancelled due to circumstances beyond the control of the Organisers or Girlguiding Staffordshire, money will be refunded to the extent that money has not already been expended or committed to be spent. This may mean that no fees can be refunded, as such Groups and individuals are therefore to be encouraged to take out appropriate adequate insurance for this eventuality. No compensation will be payable.

  4. In the unlikely event that Unity is cancelled due to circumstances beyond the control of the Organisers or Girlguiding Staffordshire, Unity accepts no responsibility for covering other costs incurred (transport, accommodation, etc.)

  5. The Organisers or Girlguiding Staffordshire shall not be responsible for failure or delay of the event if caused by (but not limited to): an act of war, hostility, or sabotage; epidemic or pandemic; Force Majeure; government restrictions; or other events outside of the reasonable control of the Organisers or Girlguiding Staffordshire. The attendees and organisers of Unity will use reasonable efforts to mitigate the effect of a force majeure event. If such event continues for more than 90 days, either party may cancel unperformed services upon written notice however no compensation will be payable.

Accessing our site

Access to our site is permitted on a temporary basis, and we reserve the right to withdraw or amend the service we provide on our site without notice (see below). We will not be liable if for any reason our site is unavailable at any time or for any period.

Intellectual property rights

We are the owner or the licensee of all intellectual property rights in our site, and in the material published on it.  Those works are protected by copyright laws and treaties around the world.  All such rights are reserved.

You may print off one copy, and may download extracts, of any page(s) from our site for your personal reference and you may draw the attention of others within your organisation to material posted on our site.

You must not modify the paper or digital copies of any materials you have printed off or downloaded in any way, and you must not use any illustrations, photographs, video or audio sequences or any graphics separately from any accompanying text.

Units may use the Unity 2026 name and logo for publicity purposes only, the logo must not be edited.

Our status (and that of any identified contributors) as the authors of material on our site must always be acknowledged.

You must not use any part of the materials on our site for commercial purposes without obtaining a licence to do so from us or our licensors.

If you print off, copy or download any part of our site in breach of these terms of use, your right to use our site will cease immediately and you must, at our option, return or destroy any copies of the materials you have made.

Our site changes regularly

We aim to update our site regularly, and may change the content at any time. If the need arises, we may suspend access to our site, or close it indefinitely. Any of the material on our site may be out of date at any given time, and we are under no obligation to update such material.

Our liability

The material displayed on our site is provided without any guarantees, conditions or warranties as to its accuracy. To the extent permitted by law, we, and third parties connected to us hereby expressly exclude:

  • All conditions, warranties and other terms which might otherwise be implied by statute, common law or the law of equity.

Information about you and your visits to our site

We process information about you in accordance with our privacy policy.  By using our site, you consent to such processing and you warrant that all data provided by you is accurate.

Viruses, hacking and other offences

You must not misuse our site by knowingly introducing viruses, trojans, worms, logic bombs or other material which is malicious or technologically harmful. You must not attempt to gain unauthorised access to our site, the server on which our site is stored or any server, computer or database connected to our site. You must not attack our site via a denial-of-service attack or a distributed denial-of service attack.

By breaching this provision, you would commit a criminal offence under the Computer Misuse Act 1990. We will report any such breach to the relevant law enforcement authorities and we will co-operate with those authorities by disclosing your identity to them. In the event of such a breach, your right to use our site will cease immediately.

We will not be liable for any loss or damage caused by a distributed denial-of-service attack, viruses or other technologically harmful material that may infect your computer equipment, computer programs, data or other proprietary material due to your use of our site or to your downloading of any material posted on it, or on any website linked to it.
